Generating a PDF
- From the Contacts tab, select a particular client contact, and then click Docs > Generate Documents.
- Choose a document from the Choose Template drop-down menu (see first highlighted box below).
- Select the Send To Clixsign checkbox (see second highlighted box as shown above). This prompts the CRM to send the generated document to the contact's email address for electronic signature.
When finished, click the green Generate Document Template button. - Input the subject and message where indicated for the email that accompanies the request for Clixsign signature. If this is an E-Marketing Template, use the dropdown menu to select the template you wish to apply.
NOTE
Subject and Message can be configured to auto populate with a default Subject and Message. This can be configured from Admin tab > Settings > Clixsign page. - Do the following in the Enforce Signing Order section:
- Select the Enforce Signing Order checkbox to ensure signers sign in the order you specify.
- Use the Signer buttons to change the toggle status for the users you want to sign the documents.
- Select an option from the menu to change the order you want the signatures collected.
- When finished, click the green Send for Signature button.
Clicking Send For Signature sends the document signature request directly to the contact's email address.
NOTE
If contact has a co-applicant with an email address, the system will automatically send the document signature request to the co-applicant, once the primary applicant has signed depending on signing order selection you have specified. The document signature request will only complete once both applicants have signed in co-applicant scenarios.
Signing a Clixsign document
- Open the email from ClixSign, and click the Review & Sign Now button.
The Welcome to ClixSign window opens. This area signifies documents are ready to be signed. - Click Begin Signing.
- The Create Your Signature window opens. Do either of the following to create your signature:
- Click Type Signature to allow the system to select your signature and initial appearance; or
- Click Draw Signature to manually draw your signature using a mouse or fingertip.
NOTE
Signature sizing on PDF documents follows a 4/1 aspect ratio whereas Initial areas follow a 2/1 aspect ratio. This translates to 240/60 pixels for signatures and 120/60 pixels for initials.
- Click Type Signature to allow the system to select your signature and initial appearance; or
- The document opens.
- Do the following with the Clixsign Controls, if needed:
- Zoom In: Zoom in for a larger view of the document to be signed
- Zoom Out: Zoom out for a smaller view of the document to be signed
- Full Screen: Change the view to encompass the entire screen
- Signature Settings: View your current signature to be used for signing
- Signers: View the signers assigned to the document
- Jump to Next Signature: Allow the system to navigate the user to the next signature or initials area of the document
- Within the document, click on the Signature or the Initials field, to sign/initial the document in the appropriate areas. Use the blue Next Field button to continue to remaining fields requiring signature.
NOTE: On the right side of the page, is a menu of options that are available to Decline to Sign, Modify the look of the Signature Method (see Signature Manager image below), and to show the field locators in your document, and shows a list of participants in this document's signature process.
- Once you have provided the Initials and Signature fields, click Click/Tap to Place Signature to sign and initial the document in the appropriate areas.
- Once the signing process is complete, click Finish Document. The system generates the completed document.
- When the process completes, the system displays the Signature Package Completed window.
IMPORTANT
The signer must wait for the document to finish generating. -
You will also receive an email notification of the document's signature like the one shown below.
NOTE
If the Signer has a Co-Signer, (dictated by valid email address in the Co-Applicant Email system field) the document will not be completed yet. Instead, once the first signer completes their part, the ClixSign request automatically sends to the next signer. The ClixSign request is not complete until all signatures are complete. - After completing these steps, the document status is listed as Completed.
Viewing documents
- From the Client Dashboard, click the Docs tab. There are 2 options to choose from.
- Click one of the following:
- Generated PDF Docs tab to view all the documents created for the contact.
- E-Signed Docs to view documents sent for e-signature along with when the document was sent, the status, how many signers have been requested and of that number, how many have completed signing everything.
- Generated PDF Docs tab to view all the documents created for the contact.
