The De-Dupe tool allows you to search for contact with a single data point in common. You can locate all the contacts who have the same Email, Last Name, Business Name, Home Phone, Work Phone, Cell Phone, SSN, or Address and then compare and merge them together if desired. This will allow you to remove duplicate but also not lose any information that may be saved to the files.
Location: Contacts Tab
At the end of the Web Address URL in your browser, you will see the string: “contacts&page=index”. Change this string to: “contacts&page=dedup”. Hit enter and you should be taken to a mostly blank screen with the exception of a drop down box located on the navigation bar.
**Important!** Before moving forward we suggest saving this page as a favorite by clicking on the green icon with a white “+” in the center located all the way to the right of the CRM window, above the navigation bar. This will make it easy to return to the de-dupe screen in the future.
1. Select De-Dupe Field
The first step is to select the field you wish to check for duplicates by. Generally using email address is the most efficient way to locate duplicates since email addresses are unique and you will not find people who have them in common like you would a phone number or last name.
2. Compare the possible duplicates
Once you searched duplicates will appear grouped together for comparison along with the number of possible duplicate contact at the top of the page. You will want to determine if the grouped records are actual duplicates or if they should be left separate.
3. Select the Master Record
Now you must select the Master Record, this will be the record duplicate(s) will be merged into; essentially the record you will keep. You most likely want to mark the record with the most existing data saved on it as the "Master".
4. Select the Merge Record
The "Merge" record is the one you will be removing from your account and transferring any data that doesn't exist on the "Master" from. For example if the "Master" does not have an Email address saved but the "Merge" file does. The email address will be transferred to the "Master" file when the contact merge is performed. In the case where the search has provided more than 2 possible duplicates you will need to select more then one record to be merged but select a single "Master".
5. Merge
Once you have set the "Master" and "Merge" files you can then click the "Merge / Dedup" button. This will transfer any missing data saved on the merge file(s) to the "Master". The page will reload and the table of merge groups will refresh removing the now merged duplicates.
